We are looking for a new colleague. As an Office Manager, you provide secretarial, organizational, and administrative support to relieve the General Director of the Agrotechnology & Food Science Group (AFSG) and lead the executive secretariat. At AFSG, we are engaged in research and education in the fields of nutrition and health, food technology, and biomolecular and biobased sciences. The General Director maintains many contacts in the (international) Agrofood world, such as with ministries, top sectors, institutes, and the business community.
Your Role Summarized:
  • you manage the (complex and dynamic) agenda of the General Director;
  • you organize and manage the mailbox of the General Director;
  • you lead the executive and staff secretariat, which includes you and two other colleagues;
  • you monitor the procedural progress of ongoing files and assignments and act proactively.
  • you prepare various meetings in collaboration with relevant colleagues, handle the meeting documents, take minutes, and maintain action lists.
  • you share progress, gather discussion points, and proactively suggest topics for meetings of the General Director and the executive team (comprising the directors, executive secretary, HR manager, and Finance manager).
  • you ensure clear communication with stakeholders inside and outside WUR and prepare drafts of emails, texts, memos, announcements, etc., for the General Director.
  • you are responsible for the smooth operation and documentation of administrative processes within the secretariat, taking initiative to improve processes.
  • together with your direct colleague (the Management Office Assistant of the operations director), you support organization-wide tasks, such as organizing a New Year's reception or a colleague's farewell.

As an Office Manager, you are the first point of contact for various staff members and external contacts concerning the General Director.

Requirements

  • you have at least a completed vocational education level 4, such as Schoevers or a similar secretarial course;
  • you have extensive work experience as an Office Manager or executive secretary in a complex environment;
  • you have excellent command of Dutch and English.

Additionally:
  • you are good at setting priorities, stress-resistant, and have a friendly yet firm personality;
  • you are proactive, solution-oriented, work independently, and are a go-getter;
  • you are discreet, have a sense of relationships, and handle confidential information appropriately;
  • you naturally seek collaboration and easily make new contacts;
  • you can maintain an overview of various tasks and work under pressure;
  • you have extensive experience with software packages such as MS Office and quickly adapt to new systems and procedures.

In our international work environment, more and more communication is in English. For this position, language level B2 is required and C1 in Dutch.

Please note: due to immigration restrictions it is not possible to obtain a work permit if you don't have an EU-passport. We would like to emphasise that applying for this position is only possible if you are either an EU passport holder or already have a workpermit for the Netherlands without sponsorship.

We offer, depending on your experience, a competitive gross salary of between € 2932,-. and € 4001,-. for a full-time working week of 36 hours, in accordance with the CLA Wageningen Research (scale 8). The position is for 36 hours a week, 32 hours is also possible.
You will initially receive a one-year contract, which will be extended to an open-ended contract upon in mutual enthusiasm.
