Job description

The department of Mathematics and Computer Science is looking for a Management Assistant (38 hours a week). The tasks involve supporting three research clusters (i.e, SET, FSA, and ALGO) and the IPA research school.

SET focuses on advancing software engineering, addressing challenges like software growth and quality through research in digital twins, software architecture, verification, evolution, and social software engineering.

FSA develops theory and tools for the specification, design, and verification of software and systems to ensure their correctness, reliability and performance.

ALGO concentrates on algorithms, both theoretical and applied, covering areas such as algorithmic design, analysis, and implementation for solving complex computational problems.

The IPA Research School provides advanced education and research related to the study and development of formalisms, methods, and techniques to design, analyze, and construct software systems and components; IPA fosters collaboration among various computer science disciplines and universities in the Netherlands.

Due to a colleague's upcoming departure for an internal opportunity, a vacancy has arisen for a Management Assistant.

Job Description

Tasks within this position include, but not limited to:
  • Secretarial support, such as scheduling meetings, planning foreign trips, administrative processing, and preboarding new employees.
  • Preparing, organizing and reporting meetings and symposia and organizing the Department Dialogue, as well as monitoring and following up on action points.
  • Receiving domestic and foreign visitors, arranging lunches, workplace and hotel accommodation.
  • Point of contact for facility, logistics and practical support for employees, guests and students with questions about entering and leaving employment, declarations, project administration, room reservations, organization of clusters business trips/social activities, etc.
  • Contact person for finance, human resources and facility services.
  • Maintain lists of office layout, mailing lists, personnel and PhD students.

Requirements

  • You have an MBO+ / HBO working and thinking level, preferably enhanced by secretarial or management assistant training, along with relevant work experience in a similar role.
  • You are proficient in MS-Office programs and quickly adapt to new software. You have excellent communication skills, an independent and proactive attitude, strong organizational skills, and a flexible, team-oriented mindset.
  • A strong command of English and Dutch, both oral and written, is required.
  • Key attributes: accurate, committed, eager to learn, hands-on, initiative, integrity, service-oriented, organizationally sensitive, reliable.
