Cluster Molecular Science and Engineering

At the Molecular Science and Engineering cluster, we educate young students to become independent scientists and experienced researchers. The cluster consists of seven collaborating research groups, with a central research theme of designing molecules and macromolecules and controlling their interactions. This common strategy finds applications in materials science, biochemistry, health, and in energy conversion and storage. While very diverse in its application areas, the central motif of creating function by molecular design is the overarching theme that brings us together. Job Description

As a management assistant, you will play a crucial role in providing comprehensive support and assistance to three of the research groups Macro-Organic Chemistry, Supramolecular Chemistry and Catalysis, and Supramolecular Polymer Chemistry, including Professors Bert Meijer, Anja Palmans and Rint Sijbesma. Acting as the central contact point for these groups, you will ensure seamless coordination and smooth operations in an international work environment together with the other members of the management team of the cluster.

Responsibilities include:
  • Managing and monitoring the agendas of our staff members, processing incoming emails, and taking independent actions when necessary.
  • Preparing meeting agendas and documenting meeting minutes.
  • Composing correspondence, emails, and other written materials predominantly in English and Dutch.
  • Arranging and organizing both internal and external appointments and supporting business travel planning, including processing travel permits and expense claims.
  • Project administration.
  • Addressing inquiries from and supporting dedicated staff and students, welcoming and assisting guests, arranging accommodations, and facilitating TU/e administrative procedures.
  • Managing the registration of leave requests, illness reports, and recovery updates through InSite.
  • Planning, preparing, and supporting group meetings and social events.
  • Collecting and processing management information, maintaining the group's archive, and managing personnel and publication registrations through the Pure system.
  • Managing and updating the internal and external website of our group.
  • Align working procedures with the other management assistants of the cluster.

Requirements

We are looking for an enthusiastic, accurate, pro-active, and flexible new colleague with:
  • A professional working proficiency, preferably with a HAVO/VWO background, supplemented with secretarial education and several years of experience in a similar function.
  • Excellent organizational, communication, and interpersonal skills with the ability to establish priorities.
  • A very good command of the English and Dutch languages.
  • Digital proficiency (good command of Microsoft Office is a must).
  • A customer-oriented and flexible attitude, capable of working well in a team, being accurate and quality-driven, proactive, and solution-oriented.
  • An interest in and commitment to the activities of the group.

Conditions of employment

  • A monthly salary of minimum € 2,715 to maximum € 3,771 for full-time employment, depending on your knowledge and experience (scale 6 or 7 collective labour agreement for Dutch Universities).
