The Eindhoven University of Technology (TU/e) has an open position for an Operations Manager (1.0 fte) at the Signal Processing Systems (SPS) capacity group within the Faculty of Electrical Engineering.

The Faculty of Electrical Engineering conducts research and provides education in the field of electrical engineering and is divided into 9 capacity groups. The Faculty of Electrical Engineering has over 690 employees and around 1,500 students.

The SPS capacity group employs about 160 people, with diverse nationalities and areas of expertise. They provide education and conduct research in the areas of signal and image analysis, information and communication theory, and machine learning and artificial intelligence with focus on several applications, ranging from biomedical diagnostics, to communication, up to security and automotive. The group is involved in several BSc and MSc programs provided by the university. Moreover, over half of the SPS groups' employees are PhD students conducting research. The SPS group also hosts many senior clinical and industrial experts on a part-time basis, providing our students with real clinical and industrial experience. This is further enhanced through the strong involvement of the group in large collaboration frameworks with industrial and/or clinical partners, such as the Eindhoven MedTech Innovation Center (e/MTIC). Indeed, with such many PhD students involved in multidisciplinary research, the group has a vibrant, international character.

The group is made of 6 labs with respective lab leaders, together forming the management team of the group, coordinated by the group chair. The management team is supported by a team of secretaries, who jointly with the operations manager perform the function of group secretary and bear the responsibility for and coordination of all management processes within the group. Together with the capacity group chair and the management team, they are responsible for day-to-day operations. They do not merely have an executive role, but co-direct and bear responsibility for policy and management processes within the group and are point of contact for all faculty departments.

For the SPS group, we are immediately seeking someone to fill the position of Operations Manager (OM). This position is currently not yet filled in this form and is therefore a new position. The OM has a coordinating and executive role in the group's projects and is responsible for all organizational, logistical and administrative processes within the group, for the design and management of all administrative systems (projects, students, education, personnel, publications, and all other key performance indicators of the group), for the efficient organization of the group and -as a collaborating colleague- manages the secretariat. In addition, the OM coordinates all PR activities of the group, including the group website and all information activities, including social media.

Tasks of the operations manager:
  • Manages all management information (regarding finances in consultation with the SPS management team) and independently provides analyses and reports thereon to cogroup representative consultation (CGR) and staff meeting.
  • Develops and manages protocols for efficient work processes and efficient administrative systems for information management within the group (projects, education, students, etc.).
  • Coordinates the activities of and directs the secretaries, prepares staff meetings and monitors the strategic agenda of the group.
  • Supports and facilitates the interaction of the group with the financial department, serving as entry point for the group.
  • Is responsible for the group's public relations policy.
  • Coordinates and organizes scientific meetings and symposia including the related reporting.
  • Has a coordinating role in the preparation and realization of project requests.
  • Independently makes his/her contribution to the management and administration of projects. This includes conducting project evaluations, monitoring progress, quality and deadlines. Also functions as a direct contact point for various parties.
  • Finds it interesting to have a coordinating and executive role in various European research programs and to master the rules of these programs.
  • Coordinates and contributes to project reports of research projects to various parties and takes care of PR regarding this, including project websites.

Requirements

  • Academic working and thinking level.
  • Demonstrated experience in managing projects and writing project reports.

  • High level of efficiency and excellent social skills.
  • Expert in information systems, software, websites and social media.
  • Fluency in spoken and written English is required.

  • Affinity with the technical content field of the group is desired but not required.

Conditions of employment

  • An appointment of 1.0 fte for the period of one year with a view to permanent employment with good performance and equal financial circumstances.
  • The salary is depending on education and experience in scale 10 with possibility for future growth and further development, or scale 11 with proven and relevant work experience and seniority. The salary range for scale 10/11 is from € 3.345 to maximum € 6.148 gross per month based on full-time employment.
  • The above salary is exclusive of the standard year-end bonus of 8.3% of the annual salary and the vacation allowance of 8% of the annual salary.
