Job description

At the Photonic Integration (PhI) capacity group within the Faculty of Electrical Engineering.

The Faculty of Electrical Engineering conducts research and provides education in the field of electrical engineering and is divided into 9 capacity groups. The Faculty of Electrical Engineering has over 690 employees and around 1500 students.

The PhI capacity group employs about 60 people and is growing. There is a wide diversity in nationalities and expertise. The group provides education and conducts research in the areas of photonics and semiconductor technology, and has a strong focus on experimental work and clean room fabrication. The photonic chips have applications from sensors for medical imaging, precision manufacturing tools, autonomous driving through to communications devices for 6G, ultrafast internet, quantum encryption and technologies for new compute paradigms. The group additionally plays a leading role in European valorisation activities such as jeppix.eu and pilot line programs. The group is pro-actively involved in the Future Chips Flagship and the Eindhoven Hendrik Casimir Institute. 

The group includes a scientific staff includes seven full time principle investigators and a number of part time academics. The group hosts activities of the Photonic Integration Technology Centre (pitc.nl). Additionally to (post)doctoral researchers, the group members include knowledge valorisation officers, software developers, technicians and a communications officer. Together with the capacity group chair and the management team, the Operations Manager will be responsible for day-to-day operations. The Operations Manager is expected to work in a close, collegiate way with the Principle Investigators, and to work within the research group.

The position of Operations Manager does not currently exist within the group. The Operations Manager will have a coordinating role in the group's project administration and is responsible for organizational, logistical and administrative processes within the group. The Operations Manager will be aware of the group's strategic agenda and assist in representing the group within the university administration.

Tasks of the operations manager:
  • Administrative support to the principle investigators PIs - the senior researchers and academics who are responsible for individual research projects - to enabling them to focus on the technical and strategic aspects of their research.
  • Administrative leadership for a portfolio of Chips Joint Undertaking activities (0.5FTE estimated) and additionally providing group level portfolio overviews with activities spanning academic research and valorisation.
  • Legal and financial management for new collaborations, proposals and projects, ensuring the timely completion and delivery of contracts.
  • Administrative trouble-shooting, providing a single point of contact for PIs in need of support with research administration and finding remedies for unexpected events by providing and executing full-scope solutions.
  • Protocol development and management for repetitive work processes by supporting and improving administrative systems for group-level information management.
  • Supports the leadership with smooth running of management meetings.
  • Financial planning and reporting support, pro-actively identifying risks and solutions together with financial controllers and principle investigators. Responsible for timely reporting on a small number of selected projects. This includes compiling and editing project reports, checking financial reports, and ensuring the timely completion of reporting.  
  • Networking within the university administration to disseminate group strategy with key university stakeholders, working groups, institutes and faculties, engaging principle investigators whenever specialist subject knowledge is required.

Requirements

  • Demonstrated experience in managing complex projects
  • Legally-aware, able to prepare the groundwork for multiparty agreements without obvious precedents and proactively and efficiently navigate legal processes.
  • Ability to analyse and re-optimise administrative interfaces from the researcher perspective.
  • Active listener able to develop good working relations with academics, senior researchers and administrative support.
  • Analytical skills.
  • High degree of organizational sensitivity and environmental awareness.
  • High level of efficiency and excellent social skills.
  • Enjoys working in an international multicultural environment.
  • Fluency in spoken and written English is required.
  • Fluency in spoken and written Dutch is an advantage.
  • Expertise in photonic and semiconductor technology is not an advantage: Curiosity and enthusiasm for the research topics of group members is a must.

Conditions of employment

An appointment of 0.8-1.0 FTE for the period of one year with a view to permanent employment with good performance and equal financial circumstances.

The salary is depending on education and experience in scale 12 with possibility for future growth and further development, or scale 13 with proven and relevant work experience and seniority. The salary range for scale 12 is € 5.495,- to € 7.056,- gross per month based on full-time employment. The above salary is exclusive of the standard year-end bonus of 8.3% of the annual salary and the vacation allowance of 8% of the annual salary.
