Job description

As a management assistant at the Erasmus University Library (UL) you are the right hand of the director. You assist, plan and arrange work for the director and the management team (MT) so that they can focus on the main issues of the work. The management assistant works at the top of the organization and works independently, proactively and in a directive manner within his or her own range of tasks.

You are the first point of contact for the director and the MT in daily and operational tasks and have a wide range of responsibilities that vary from agenda management to communication to your own small projects.  You are in constant contact with the managers of the various departments within the UL.  Within your own projects you work closely with HR, Communications and Finance. You report on this to the director and report to the MT.

Areas of responsibility:

  • Preparation and reporting of MT meetings and monitoring action lists;
  • Administrative tasks and general secretarial tasks such as agenda management, mailbox management, correspondence and making presentations;
  • Planning and organizing meetings, events, trips, gatherings, etc;
  • Support and follow-up in recruitment processes;
  • Planning, follow-up and implementation of service-wide communication;
  • Accounting work (including handling invoice administration);
  • Small projects such as organizing team outings, etc.;
  • Stock management of office supplies;
  • Welcoming visitors of MT members.

Requirements

  • Relevant HBO education supplemented with at least 5 years of work experience;
  • Or a relevant MBO education supplemented with at least 10 years of work experience;
  • Excellent communication skills in Dutch and English (level B2), oral and written, verbal and non-verbal;
  • Analytical, systematic and problem-solving organizer with hands-on mentality;
  • Loyal, honest, discreet, empathetic and diplomatic;
  • Skilled in the latest presentation techniques and technological developments (cloud applications, mobile applications, CMS, tools for taking minutes, video conferencing, online meetings, etc.);
  • Excellent knowledge of MS Office (Word, Excel, PowerPoint, Outlook).

Conditions of employment

We offer you an internationally oriented and varied job in an enthusiastic team, with excellent working conditions in accordance with the Collective Labour Agreement for Dutch Universities (CAO-NU).

The start date of this position is as soon as possible and you will be based at campus Woudestein in the University Library. This position is for 0,8 fte – 1,0 fte. The salary is dependent on your experience and knowledge and ranges from a minimum of € 3.218,- a maximum of € 4.298,- gross per month Scale 8 on a fulltime basis (38 hours), in accordance with the CAO-NU. The contract is entered into for the duration of one year.

As content manager of Erasmus University Rotterdam (EUR), the University Library (UL) supports students, teachers and researchers in creating and disseminating knowledge and in-depth knowledge.

Staff Team

The staff team is a new team with 11 colleagues. At its core, the staff department is a transparent, approachable and visible support unit for all University Library employees. By bundling all staff activities at a tactical and operational level, the team contributes to empowering people and optimizing processes within the University Library as a whole.
