Job description As a Management Assistant within the Open Science team of the University Library, you will have a versatile, varied job with various administrative, organisational and planning tasks within an inspiring international organisation. A job which suits you perfectly if you are highly service-oriented on the one hand, but also have a healthy dose of entrepreneurship and perseverance. With your work as a Management Assistant, you will contribute to the smooth functioning of the organisation by providing adequate secretarial and administrative support and the planning and organisation of various activities and events for academics within the Open Science Community Maastricht as well as support staff within the University Library.
You will be responsible for:
- Supporting the Open Science team through proactive and accurate administrative and organisational support;
- Drawing up and updating the planning of various services and (training) activities;
- Organising and coordinating meetings and events;
- Independent drafting and processing of correspondence (emails, letters, notes, reports);
- Preparing, organising and taking minutes of meetings and handling tasks arising from decisions taken (incl. monitoring deadlines and following up with relevant stakeholders to stay on track.
Job requirements We are looking for you if you are proactive, well-organised, persistent, structured and accurate. You are good at setting priorities and have a friendly, firm personality. You take initiative, can handle a multitude of different tasks and monitor and anticipate processes within the Open Science team well. You are flexible, enjoy working independently, but also enjoy working together. In addition, you are able to learn and pick up things quickly, have a good sense of hospitality, a sense of humour and the ability to put things into perspective. Because the Open Science movement and the UM Library are very dynamic, we are looking for a builder. Someone who oversees processes, improves them and helps the Open Science team innovate along with the organisation and (inter)national developments.
Furthermore, you have:
- MBO+/HBO working and thinking level with an administrative/organisational background.
- Relevant work experience in a similar position.
- Affinity with academic research, preferably also with the Open Science movement (see https://www.maastrichtuniversity.nl/research/open-science).
- Excellent command of MS Office applications such as Outlook, Word, Excel, Powerpoint.
- Experience or affinity with website management.
- Excellent command of the Dutch and English languages, both oral and written.
What we offerAs a Management Assistant within the Open Science team of the University Library, you will be employed by the most international university in the Netherlands, located in the beautiful city of Maastricht. In addition, we offer you: - Good employment conditions. The position is graded in scale 7 according to UFO profile Management-/Office Assistant, job level 2, with corresponding salary based on experience ranging from €2693,00 and €3636,00 gross per month (based on a full-time employment of 38 hours per week). In addition to the monthly salary, an 8.0% holiday allowance and an 8.3% year-end bonus apply.
- An employment contract for a period of 12 months with a scope of 0.6 FTE (22,8 hours per week, based on a fulltime employment of 38 hours per week). Upon proven suitability, the employment contract will be converted to an indefinite contract.
- At Maastricht University, the well-being of our employees is of utmost importance, we offer flexible working hours and the possibility to work partly from home if the nature of your position allows it. You will receive a monthly commuting and internet allowance for this. If you work full-time, you will be entitled to 29 vacation days and 4 additional public holidays per year, namely carnival Monday, carnival Tuesday, Good Friday, and Liberation Day. If you choose to accumulate compensation hours, an additional 12 days will be added. Furthermore, you can personalize your employment conditions through a collective labor agreement (CAO) choice model.
