For the Legal Affairs & Liaison Office (LOLA) team of the Environmental Science Group (ESG), we are seeking a driven Secretary. In this versatile role, you will support our legal experts, contract managers, grant advisors, and the top sector secretary, ensuring that the process of internal coordination and administrative handling of contracts and offers runs smoothly. You will play a crucial role in processes surrounding offers, agreements, and grant applications and serve as the secretary to the head of LOLA. In short, you are an indispensable link within our team!

Your tasks
In this position, you will be the first point of contact for our team and responsible for:
  • Managing the general legal mailbox for legal inquiries, including offers and contracts;
  • Creating, assigning, and administratively processing legal files;
  • Managing legal files;
  • Further developing support for the Liaison Office;
  • Providing secretarial support to the LOLA team, including orders and preparing and organizing meetings and team activities; and
  • Providing secretarial support to the manager, including managing their calendar.

You will be part of a friendly team with a lot of room for personal initiative. The LOLA team currently consists of three legal experts, two contract managers, one top sector secretary, and three tender and grant advisors

Requirements

  • A completed education as a secretary, a general administrative qualification, or relevant work experience as an administrative supporter/secretary;
  • The ability to work both independently and as part of a team;
  • Excellent organizational skills, the ability to prioritize tasks, and a meticulous working style;
  • The ability to meet deadlines and perform under pressure;
  • A pragmatic attitude and a solution-oriented approach;
  • A pleasant, clear, and service-oriented communication style;
  • A good command of both Dutch and English, written and spoken;
  • Extensive knowledge of the Office suite. Experience with SharePoint is a plus;
  • An affinity for legal files is an advantage;
  • The ability to navigate a large organization and manage relationships effectively;
  • An openness to change and a willingness to contribute to team objectives;
  • A critical approach to work methods and processes, taking the initiative for improvements where necessary.

We offer, depending on your experience, a competitive gross salary of between € 2.496,- tot maximaal € 3.365,- for a full-time working week of 36 hours, in accordance with the CLA Wageningen Research (scale 6).
